PRE-BUILD PROCESS

How an H&L Client goes through our pre-build process and the seamless handoff from Marketing/Sales to Design Team to Project Manager & Build Crew

STEP 1

LEAD FROM INQUIRY

MARKETING DIRECTOR

Inquiry comes in through H&L Squarespace form. Information is copied in Houzz Pro and a “Schedule a Discovery Call” email (through Houzz Pro) is sent to new lead within 24 hrs.

STEP 2

DISCOVERY CALL

DESIGN DIRECTOR

New Lead schedules a Discovery Call through the link in Calendly (sent via Houzz Pro). Call is approx 15 minutes where we explain what H&L is and what makes us different and gain more of a scope on the prospective project. If a good fit, info is sent to schedule an in-home meeting.

STEP 3

IN-HOME MEETING

CEO, PM & DESIGN DIRECTOR

Goal is to meet client, get thorough scope of the dream project and acquire scans of the space. Go through the Client Handbook and get a good idea of their budget. Answer questions and have enough information to get client a detailed estimate and 2D/3D renderings of the proposed project.

STEP 4

PROPOSAL

CEO

CEO sends proposal to client via Canva video. It contains him explaining details of proposed project via the updated renderings and estimate.

STEP 5

10% DEPOSIT

Client decides they want to book with us and pay a 10% deposit. This gets them a build date on the calendar and it is time to start the design process. Design Director assigns the Design Lead to the project and communicates Design Process Timeline to Client.

STEP 6

DESIGN MEETING

DESIGNER & ASSOCIATE DESIGNER

CEO sends proposal to client via Canva video. It contains him explaining details of proposed project via the updated renderings and estimate.

STEP 7

MOODBOARD

DESIGNER & ASSOCIATE DESIGNER

Moodboards created per design meeting to determine design direction of project.

STEP 8

SELECTIONS

DESIGNER & ASSOCIATE DESIGNER

Once Moodboard is approved, selections are pulled based on Design Direction and their Estimate. They are sent to Client via Houzz Pro. They can “approve” and “decline” and there will be appropriate feedback on selections.

STEP 9

ORDER SELECTIONS

DESIGN DIRECTOR

Design Director orders all final selections. Double checking on quantity and sending tracking information to Associate Designer so it can be logged & tracked by clients via Houzz Pro.

STEP 10

TRACKING & UNBOXING

ASSOCIATE DESIGNER

Associate Designer puts together tracking on Houzz Pro so it can be viewed by both Employees and clients.

Once all items are delivered, Associate Designer heads to delivery location and checks to make sure there are no damages. Logs photos & any notes on Houzz Pro.

STEP 11

PRE BUILD MEETING

CEO, PM, DESIGN DIRECTOR, DESIGNER, ASSOCIATE DESIGNER & BUILD CREW

Group meets on site at project a week prior to build date. Goal: general project overview, answer any client questions. Afterwards, the crew will need to spend some time with PM looking at the worksite and get a solid build plan so they can hit the ground running.

STEP 12

BUILD!

Hand off to PM

PROJECT MANAGER

Project Manager takes over main communication with client during build phase. Will direct questions to Design Direction/Lead Designer as needed. Will communicate for best time or weekly visits from Design Lead.
